Create custom BidSheet Templates to send to suppliers through BidCQ to limit columns, mark them as required, and create a specific custom email for that template
Configure specific templates for certain suppliers, commodities, and other categories for your BidSheets by Line Card via the Bid Templates.
How to create a Custom Bid Template
In the Configurations section, navigate to the Supplier Data page and go to Bid Templates in the right hand menu.
This feature is available in the Advanced tier or higher. If you don't see the option for Bid Templates, please reach us out to support@calcuquote.com
- Find the "+" icon next to the Bid Templates tile and click on it.
- CQ will display the New Bid Template pop-up.
- Template Name: name your template to be identified when sending your BidSheets.
- Required Columns: select the columns form the dropdown list you want to be mandatory on the BidCQ side for the supplier.
Please notice tha unit price column is not listed in the dropdown since this field is always mandatory for the supplier. - Email Body: write and format the Bid Request email body you want to populate by default when selecting the Bid Template. Please notice this is setting the email body text, not the Bid Note, which you can still set when sending the BidSheet.
- Click on Save.
How to use the Bid Template
In the Material Costing tab, you will be able to use the Bid Templates when sending your Bids by Line Card.
- Select and send your Lines via Bid By Line Card as usual.
- In the Bid Sheet Edit screen, noticethe Bid Templates dropdown and select the template to use.
- Continue setting the Bid as usual.
- The supplier will receive the BidSheet notification as always:
- The email body will be a setup in the template.
- The Required Colums will be the ones indicated in the template.
- The email body will be a setup in the template.
