CalcuQuote offers functionality that allows multiple users to make changes within a Request for Quote (RFQ) without automatically notifying suppliers.
Key Notes: In CalcuQuote, the primary action to move forward is to submit tabs. Submitting a tab triggers downstream data pulls and sends notifications to your suppliers. You can save changes within the BOM tab as many times as needed, but it’s only when you submit the BOM tab that actions are triggered.
Follow the below order of operations to make changes within the BOM tab, without notifying all Suppliers and updating Labor:
-
Access the RFQ
Log in to your CalcuQuote account and navigate to the RFQ you want to modify. -
Make Changes as Needed
Multiple users can edit the RFQ simultaneously. You can add, remove, or update the required information, including part details, quantities, specifications, manufacturers or any other aspects related to the quote. -
Avoid Notifying Suppliers
When changes are "saved" (not submitted) within the RFQ, CalcuQuote will not notify Suppliers. This allows you to work collaboratively without alerting suppliers until you’re ready. -
Review Changes
Before finalizing, review all modifications to ensure accuracy. You can make additional changes as needed. -
Send Final RFQ to Suppliers
Once all internal changes are completed and you're ready to send the updated line items, you can notify the suppliers with the latest details by "SUBMITTING" the BOM tab. -
Supplier Notifications on Updated Bids
A notification of a bid update will be sent to any supplier whose bid contained a line that was adjusted. Suppliers will then be able to review and take action on the updated bid details, ensuring they are aware of the changes and can make any necessary adjustments to their response. Notifications will be sent to all Supplier Contacts on the bid in a single email.
The following items will be specified in the email notification:
- Count of new parts were added to the bid
- The qty changed for X number of parts
- The site changed for X number of parts
