Suppliers might need make modifications of the provided information for your bids while they are still on time. Keep the bids open for them and forget about constantly re-open them
Sometimes suppliers will need to modify the information they provided while they still can and will usually call you or text you to re-open the bids for them.
QuoteCQ users could save some time by keeping the Bids open during all the quoting period for the suppliers to freely access their Bids anytime and update the information as needed. Once the quoting time is over, the QuoteCQ user would close the bid definitely.
Keeping the bid open
- In the Material Costing tab, start sending your Bid Sheets as usual.
- In the Edit Bid Screen, notice the "Bid to Remain Open" option. This is off by default, so you need to recall to turn it on.
- Continue setting and sending the Bid as always. The BidCQ user will be able to provide all information as usual, and submit the bid.
- Once the BidCQ user submits the bid, it will be showed as "Submitted-Open" in both QuoteCQ and BidCQ applications.
- In BidCQ, the bid will remain listed in the Open bids summary, and the BidCQ user will be able to access it, modify the information and submit it again.
- The BidCQ user has to click on the submit button every time they change any information.
- They will be able to do so unlimited times until the QuoteCQ user closes the bid.
- The information they re-submit will be automatically updated in the QuoteCQ side.
When the quoting period ends, the QuoteCQ user will need to close bid to stop the supplier from accessing and modifying the bid again.
Closing the bid
- In the Material Costing tab, search the Bid to close and click on the little arrow to display the options. Click on "Close".
- The Bid status will be change to "Closed" and the last submitted information from the supplier will remain as the definite quote.
Even if the bid is close, if necessary the QuoteCQ user could re-open it again.
