Bid sheets are a great way to facilitate communication between suppliers and EMS companies about material pricing and availability.
Bid sheets operate similarly to spreadsheets, except they can be more secure and less error-prone. If you're a supplier and have been asked to submit a bid sheet to your customer, here are instructions on how you can do that within CalcuQuote's New Bid Sheet Portal.

Once you have successfully created a free account and logged in, you should see your account Summary.
You will have 4 columns in your dashboard: 1) The CalcuQuote Quote ID and Assembly ID, 2) the Company who sent it, 3) when the bid sheet is due, and 4) the status of the bid sheet.

Use the Open and Close buttons in Bid Summary in the top left-hand column to toggle between bid sheets with different statuses. Depending on the status view, use the dropdown next to Customer Bids on the left-hand side to sort by Alphabetically or Lines.

To view a bid sheet, click on the line you want to open.

Once you have clicked into a bid, you can quickly see the Bid Information: both who sent the bid and information on the bid itself. To exit the Bid Information view, click the 'x' in the top right or click anywhere on the screen.

The options in the top bar are:

Summary - a hamburger icon on the left-hand side: Click here to return to the Bid Summary page to view the dashboard of all bids.

Bid Info: Click here to return to Bid Information.

Review: click here to automatically review your information before submitting it to the customer. Learn more HERE.

Save as Draft: click here in order to save your progress without sending it back to your customer.

Submit: Click here to Submit the bid back to your customer.

Excel > Export: Download the Excel template of the Bid Request.

Excel > Import: Click here to import the Excel file back in. Columns will populate based on Excel data.

Bid Mgmt: Click here to open the actions menu, where you will find:

Expanded Bid: when the customer requests you to quote multiple quantities, you can provide information for all quantities or separately for each quantity. Turn on or off the Expanded Bid to quote one way or the other.

No Bid Line Items: this action will allow you to select the lines you want to mark as no bid.

No Bid All: this action will no-bid all the lines in the request.

Share: Click here in order to share the bid request with another colleague.

Navigate the Bid Request

Documents: Add documents, such as gerber files, for your customers. You will also be able to see any document the customer attached when sending the request.

Franchised: indicate if the Mfgr is in your Line Card or not.

Site: if the customer indicates so, this describes the Site they will be buying from.

Cross Match Mfgr: Suggest Alternate or Cross-Matched manufacturers for your customers. Be sure the manufacturer is unique to the original.

Cross-Match MPN: Suggest Alternate or Cross-Matched MPNs for your customers. Be sure the manufacturer is unique to the original.

NRE Name and NRE Cost: add any extra cost to the line item that you need to charge the customer for.

Currency: If you are quoting a different currency than the default, you can update it here.

Unit Price: Add price per order quantity. Unless you will no bid the line, this field is mandatory.

Min: The minimum order quantity required to be purchased.

Mult: The multiples by which an order must be placed

Stock: Current stock availability.

MFG Lead Time: Add manufacturing lead time.

Lead Time UOM: Specify if Lead Time given is Days or Weeks. This is by default in days, unless you indicate "Weeks" in the Lead Time UOM column. You can also change the default Lead Time UOM following the instructions HERE.

Package: Add packaging notes for the customer.

On Order ETA: Estimated time of arrival for additional parts.

On Order Qty: Number of additional parts expected.

Region: Where the stock is located.
-
RoHS: Can be answered with Yes, No, Unknown.

NCNR: Can be answered with Yes, No, Unknown.

Auth Reseller: Can be answered with Yes, No.

Supplier SKU: SKU specific for that part.

Supplier Description: Description of the part.

Note: Any alphanumeric note you would like to leave for your customer.

Once you are satisfied with the results, click on Submit and enter your name in the "Authorized By" field and a quote number if applicable.
After submitting your bid sheet, the bid will be marked as submitted and moved to the closed section of the Bid Summary.

Some considerations...
- All errors will be marked in red. Click on the highlighted red cell and the error reason will display in the bottom of the screen.
- You can leave a line empty, but if you're indicating any information for a line, the Unit Price cannot be left blank. It is mandatory field. As an example, if you are indicating MOQ, Stock or Lead Time for a line, the Unit Price cannot be empty.
